Accounting and business management

Your accounting up to date, without entering anything twice

Sales, collections, purchases, cash and banks, inventory and accounting in a single web-based system. Every transaction generates its journal entry automatically, the bank is reconciled against the statement and the financial statements come from what has been recorded.

A journal entry the system generates on its own when invoicing. Sample data.

Entered once

The sale, collection or expense is recorded on its own screen, with its supporting document.

The journal entry writes itself

Every transaction generates its double-entry journal entry, using the accounts the accountant defined.

The numbers, up to date

The general journal, general ledger, financial statements and reports come from those journal entries, with no separate spreadsheets.

How it's used

The day-to-day

Whoever sells, collects and pays enters their part. The accountant reviews and closes, with no retyping.

  1. Open the shift

Each user opens their cash register shift before invoicing.

  2. Sell

Sales order and invoice in the same step, with "Save and invoice". The invoice goes out printed or by email.

  3. Collect

Select the customer, check the invoices being paid and the account the money went into. The receipt is issued.

  4. Enter expenses

Each purchase or expense with its supporting document, cash or on credit.

  5. Upload the statement

The bank is matched automatically against what is recorded. Whatever is left unmatched is resolved from the same line.

  6. Check the numbers

The dashboard, financial statements and reports, up to date and exportable.

  7. Close the month

Review pending items, reconcile and close the period.

Automatic double entry

Every transaction, its journal entry

The accountant defines once which account each transaction uses. From then on, the system builds the journal entries.

  • Before saving, the journal entry preview is shown and can be corrected.
  • Each customer and each supplier has its own sub-account.
  • Manual journal entries are available too: with attachments, voiding and batch import.

Integration

Connected to the station and to other systems

Accounting does not wait for someone to export and import files.

With PetroBox at the station

Accounting works on the same database as the forecourt: the station's invoices, collections, shift closings, purchases and transfers generate their journal entries. It is enabled per station.

Integration API

Other systems issue invoices through the API: the system builds the sales order, the invoice and the collection, with their journal entries.

Invoices from another system

Invoices already issued are imported from their XML or from a photo or a PDF, read with artificial intelligence, and are posted.

Information for decision-making
